Welcome to this demonstration of
Syspro's Projects and Contracts module.
In this session,
we'll look at how SysPro manages
multiple iterations of the same project,
all linked back to one contract.
We'll use the Projects and Contracts
query program to explore financials,
job hierarchies, progress,
and real-time project detail.
Once the query program has opened,
you can navigate using the magnifying glass
to find the contract you wish to interrogate.
Before we dive into the detail of this project,
let's take a look at information that
is available on the Contract header.
Immediately,
we see the customer that this contract is linked to.
We see the description of the contract,
the estimated completion date,
as well as the actual completion date,
once the prototype final bill and commissioning has completed.
Under the Contract Details tab,
you see the person responsible.
You will see the hierarchy that was used against this contract
and any billing details or review dates
that are pertinent to this project.
Below that,
we have the hierarchy of work-in-progress
jobs associated with this contract.
These jobs represent each iteration of this project build.
Essentially,
each job is a different bill of material iteration.
Most share the same hierarchy template,
but there are expectations.
So, 1175.
1188 share the same template,
whereas 1186 uses a different hierarchy structure
because this iteration required additional work due
to a potential new raw material that needed testing,
calibration,
and prototyping.
Although all iterations represent the same fundamental build,
each may contain variances based on the required work.
When I click on a specific project iteration,
the Summary tab to the right of the screen
displays a complete financial overview,
which includes a sales amount,
a balance to bill,
a billing to date,
committed versus uncommitted expenses,
and overall financial statistics.
This gives us a real-time visibility of the financial
performance of each project linked to the same contract.
Now,
let's compare a few project iterations so you
can see the variances as they appear in Syspro.
We've already looked at Job 1175,
and we can see that in the design phase,
we have billed 15,000 pounds.
There is a balance to bill of 5,000 pounds,
and the cost of the design phase is 11,400 pounds.
The cost of the entire project build is 44,461 pounds,
and we can view all financial metrics assigned to this project.
If I compare that to 1181 or 1186,
you will see a difference in cost,
you will see a difference in the balance to bill,
as well as what has been billed and what is yet to bill.
If I open up this phase,
this is one of the projects that had an extended hierarchy.
Clicking on any of the hierarchies,
you will be able to see the cost of the hierarchy,
the amount that is projected to cost,
and the sales value that is projected.
Additional functionality that is available to us
through the projects and contracts query screen is
a deep dive into the actual work-in-progress job.
At the bottom of the screen,
we have some links on sales,
the cost breakdown structure,
any scheduled payments,
deposits,
and retentions.
If I click on the work breakdown structure,
you will see a list of each of the hierarchies,
as well as all of the financial information linked to that hierarchy,
as well as the total cost and the
gross profit percentage by hierarchy.
Clicking on the job allows me to go into the
job and view the details and work-in-progress.
Once I've clicked into the job,
I can interrogate the information linked to this specific job,
which is linked to a bill of material iteration of this project.
We can see the cost to date.
We can see the expected cost of material and labor,
as well as the material allocations and the labor tracking.
Clicking on Labor Tracking or Operation Tracking will take
me into the detailed labor posting against this project.
From my design phase,
you can see there were six hours that were posted to this job,
and we are expecting 200 hours to be posted to this job.
I can further drill into the detail of this labor posting.
I can see the employee who posted the labor against the job.
I can see the date that it was done,
as well as the financial transaction posted.
This level of drill-down ensures complete transparency
and control over every iteration of the project.
This concludes the demonstration of how SysPro projects and contracts
enables you to manage multiple versions of the same project,
all tied to a single contract.
You can monitor financials,
track work and progress,
manage billing,
maintain control across all iterations,
whether you're dealing with standard
bills or customized project variations.
You will have real-time,
consolidated information in one view.
