Let's look at the payment gateway in practice.
When an end customer wants to settle their
invoice balance using a digital payment,
this can be done either directly against an
invoice from within sales order entry or,
alternatively,
from within accounts receivable,
AR,
as part of a payment run.
We will be looking at sales order entry first.
When an invoice is posted from your sales order
module,
and the terms code against your order flags
it as being available for digital payments,
at the time of invoicing the order,
you will have the option to either execute a digital payment
right now.
This will typically be the case if you
have the customer's card details available,
for example you have him on the phone
or he is sitting across from your desk,
or you can choose to send a payment request to the end customer,
allowing him to
execute payment later.
If you choose to send a payment request,
a payment link or URL may be embedded in the invoice document,
as shown in this example.
When the invoice is emailed to the end customer,
they can click on the link and be directed to
pay them,
where they can settle the outstanding balance.
If the Syspro operator selects to pay now,
they will also be directed to pay them.
Independent of whether you select to generate a payment request
first or process a payment directly from
sales order entry using the pay now function,
you will have the same user experience in pay them.
First, you will enter your contact details.
The payment methods available for the end customer
will depend on the payment processor that the
business chooses to partner with.
In my example,
I have the option to pay either with a credit card
or via ACH. If you previously saved your card details,
it will be available for selection.
If not, you will enter your card details here.
Syspro does not store card details.
Our selected PCI compliant payment processors handle it.
After the payment is executed,
the corresponding invoice balance
in Syspro is automatically adjusted.
Alternatively,
the end customer may also choose to
settle his outstanding account balance,
consisting of a list of outstanding invoices,
using pay them.
A new payment type in your existing AR
payment run program supports this.
Here, the operator will have the same options,
either send a payment request to the end customer,
allowing them to execute payment later,
or choose to execute a digital payment right now.
This will typically be the case if you have the
customer's card details available.
So,
again,
if I select pay now,
it takes me to pay them,
where I can then make a payment,
using the same process demonstrated for sales orders.
Now,
let's examine the reserve payment process,
where funds can be reserved against an open sales
order on the credit card of an end customer.
When a sales order is created from your sales order
module,
and the terms code against your customers flags
it as being available for digital payments,
specifically reservations,
you will have the option to either reserve funds right now.
This will typically be the case if you
have the customer's card details available,
for example,
you have him on the phone or he is sitting across from your desk,
or you can choose to send a reservation request to the end customer,
allowing him to execute
payment later.
If you choose to send a reservation request,
a link or URL may be embedded in the order acknowledgement document.
When the order is emailed to the end customer,
they can click on the link and be directed to pay
them, where they can authorize the reservation.
If the Syspro operator selects to execute the
reservation immediately,
he or she will also be directed to pay them.
Again, the user experience
will be very similar to that demonstrated for invoice payments.

If funds are reserved successfully,
the corresponding sales order in Syspro is updated.
If the sales order was previously suspended due to
failed credit checking,
the Syspro operator could also release
the order from suspense if funds were
successfully reserved.
